📲 How to Reassign Contact Info at Check-In
📱 Transferring Phone Numbers at Check-In
When checking in guests using ClickBid, you may come across situations where a phone number is already assigned to another bidder. Here’s how the system handles it and what you need to know.
⚠️ What Happens When a Phone Number Is Already in Use
If you enter a phone number at check-in that’s already linked to another bidder, a message will pop up letting you know.
-
You’ll see a prompt that explains the number is already on file.
-
You can choose to transfer the phone number to the new bidder.
-
Once transferred, the original bidder will no longer have a phone number on file.
-
Two bidders cannot share the same phone number in the system.
-
The transfer is immediate and permanent.
⚠️ Warning: Transferring the number removes it from the original bidder’s profile.
📧 What About Email Addresses?
Email addresses work a little differently in ClickBid:
-
If you enter an email that already exists in the system (during bidder lookup under the Butler), you’ll receive a message saying two bidders cannot share the same email.
-
Unlike phone numbers, the system will not give you the option to transfer or override the existing email.
ℹ️Info: While phone numbers can be reassigned during check-in, emails cannot be shared or transferred between bidder profiles.
🧠 Tips for Managing Contact Info
-
Double-check contact info before transferring to avoid accidental loss of data for another bidder.
-
If a bidder shares a phone or email with a spouse or family member, decide in advance who will be assigned the contact details.
-
Use unique emails and phone numbers whenever possible to avoid conflicts during check-in.
💡Tip: To avoid issues during check-in, consider asking guests to confirm or update their contact info when they purchase tickets or register.
