📱 Transferring Phone Numbers at Check-In

When checking in guests using ClickBid, you may come across situations where a phone number is already assigned to another bidder. Here’s how the system handles it and what you need to know.


⚠️ What Happens When a Phone Number Is Already in Use

If you enter a phone number at check-in that’s already linked to another bidder, a message will pop up letting you know.

  1. You’ll see a prompt that explains the number is already on file.

  2. You can choose to transfer the phone number to the new bidder.

  3. Once transferred, the original bidder will no longer have a phone number on file.

  • Two bidders cannot share the same phone number in the system.

  • The transfer is immediate and permanent.

⚠️ Warning: Transferring the number removes it from the original bidder’s profile.


📧 What About Email Addresses?

Email addresses work a little differently in ClickBid:

  • If you enter an email that already exists in the system (during bidder lookup under the Butler), you’ll receive a message saying two bidders cannot share the same email.

  • Unlike phone numbers, the system will not give you the option to transfer or override the existing email.

ℹ️Info: While phone numbers can be reassigned during check-in, emails cannot be shared or transferred between bidder profiles.


🧠 Tips for Managing Contact Info

  • Double-check contact info before transferring to avoid accidental loss of data for another bidder.

  • If a bidder shares a phone or email with a spouse or family member, decide in advance who will be assigned the contact details.

  • Use unique emails and phone numbers whenever possible to avoid conflicts during check-in.
