🎟️ How to Set Up and Manage Your Ticket Page in ClickBid

Whether you're selling gala tickets, sponsorships, or RSVP seats, your ClickBid Ticket Page is your central hub for managing sales and guests. This guide will walk you through everything from setting up tickets to managing guests and viewing reports.


🧪 Testing Tip Before You Start

⚠️ Warning: If you're testing ticket purchases, always use the Check or Cash payment options. This avoids accidental credit card charges and fees that your organization would be responsible for.


🛠️ Modify Tickets

Menu: Event Tickets > Modify Tickets

This is where you’ll create your tickets, sponsorships, underwriting options, and meal selections.

Ticket Fields:

  • Price: Set price per ticket.

  • Ticket Title: Max 26 characters.

  • Tickets per Purchase: Useful for couples/family packages.

  • Quantity Available: Limit how many are sold. (Note: This can also be set in bulk under Event Tickets > Ticket Page Settings > General Settings > Ticket Page Guest Limit)

  • Ticket Details: Appears under the ticket name; great for descriptions.

  • Custom Questions: Unlimited questions can be added to each ticket type to ask for additional information of the ticket/sponsor purchaser, and can be a text/dropdown option. For additional information on Custon Questions, click here.

💡 Tip: To change the order of tickets, right-click/hold the ticket line and drag it up or down within its section (e.g., individual tickets, sponsor levels).

⚠️ Warning: Once a ticket has been purchased, do not rename it. This can affect reporting accuracy and guest link functionality.


⚙️ Customize Ticket Page Settings

Menu: Event Tickets > Ticket Page Settings

Key Features:

  • Ticket Page URL + QR Code: Share or save for promotion.

  • Form Name: Rename your ticket page.

  • General Settings: Choose fields to display (e.g., donation, seating).

  • Allow Purchaser to Keep Card on File: Converts the purchaser into a bidder without notifying them.

  • Allow Guest Updates?

    • No: Guests can’t update info; no link sent.

    • Yes: Guests can update; link sent (excluding the purchaser).

  • Receipt Email Addresses: Add under Software Settings > Event Settings > Event Support Contact, then confirm in Ticket Page Settings > General Settings.

  • Ticket Page Guest Limit: Set an overall ticket page limit for all ticket types.
  • Fair Market Value Toggle: Show or hide FMV on receipts.

  • Venue Information: An address that can be added to link to a Google Map link for easily locating the venue
  • Payment Types: Customize accepted payment options. We currently have options for:

    • Cash
    • Check
    • Credit Card
    • Invoicing
  • Additional Features: Add custom fields and labels to different areas of the ticket page. You can also choose to show a QR code for checking in guests, and choose to show your organizations logo.

  • Quantity and Donation Items: Choose to add quantity and donation items you have created to allow for early sales and donations.
  • Custom Content: Customize your ticket page header, receipt header, as well as your guest update link email message.
  • Header Image: You can add an image to yout ticket page to enhance branding and overall aesthetic.  We recommend (1272 X 544 for best results). Max file size is 8MB.

Tip: Your brand colors from your Landing Page will also show up on your Ticket Page! You can add a primary and secondary color under Software Settings > Landing Page Builder > Page Settings.

Manage Multiple Ticket Pages

Menu: Event Tickets > Manage Ticket Pages

Each Enhanced or Full Suite License includes one ticket page, but you can create more if needed (e.g., separate pages for sponsors vs. general admission).

How to Add a New Page:

  1. Go to Event Tickets > Manage Ticket Pages.

  2. Click Create New Ticket Page.

  3. You'll be redirected to the new page's Modify Tickets section.

  4. To rename the page, go to:
    Event Tickets > [New Page] > Ticket Page Settings > Form Name.

Tip: Need to delete a ticket page? Submit a request via Training/Support > Request Support.


👥 Manage Guests

Menu: Event Tickets > Manage Guests

All purchasers and their guests appear here along with their ticket type, if they have a bidder number assigned (yes/no), Notes, any answers to Custom Questions, and table.

Convert Guests to Bidders:

  1. Select all entries.

  2. Scroll to Batch Update.

  3. Choose Make Bidder

💡Tip: Use the arrows beside Bid # Assigned to see who has been assigned a bidder number.

 

After conversion, manage bidders under Bidders > Manage Bidders.


📈 View Ticket Sales

Menu: Event Tickets > View Ticket Sales

See your complete ticket sales list including:

  • Purchaser contact info

  • Total

  • Purchase date

  • Payment type

  • Ticket name and quantity

  • Guest List 

You can also refund guests from this area, resend reciepts, resend a guest update link, and send a ticket/sponsorship invoice. 

Click Download Ticket Sales (blue bar) to export as Excel or CSV.


📊 Sales Summary

Menu: Event Tickets > Sales Summary

This view shows:

  • Quantity sold

  • Total sales

  • Breakdown per ticket/sponsorship/underwriting

Helpful for reporting and event wrap-ups!


✉️ Enter RSVP Ticket

Menu: Event Tickets > Enter RSVP Ticket

This tool mimics your ticket form and allows manual entry of RSVPs.

You can process payment via:

  • Check

  • Credit

  • Cash

  • Invoice

After completing the form, the purchaser receives a receipt confirmation email. You can also add discounts on behalf of a purchaser here. 


📬 Ticket Confirmation Settings

Confirmation Email:

All contacts listed under:
Software Settings > Account Settings > Contact Information
...will receive confirmation emails unless an override email is added under:
Event Tickets > Ticket Page Settings > General Settings > Receipt Email Address.

💡 Tip:  Add a logo under Software Settings > Account Settings > Logo/API to display it at the top of the receipt.
