👀 What is Item Numbering?

When creating items for your auction, ClickBid recommends starting your item numbers at 100 or higher to take advantage of automatic item indexing. You can number items manually or in bulk using a template or batch update. Below are the two main methods.

📥 Method 1: Use an Item Import Template

Use this method to plan and upload your items with grouped numbering for easier organization and future edits.

⚙️ How to Download and Format the Template

  1. Go to Items in the left menu.

  2. Click Manage Items.

  3. Scroll to the bottom and click Download a Template.

  4. Organize your items in the spreadsheet:

    • Group similar items in number ranges (e.g., Electronics: 100–105, Beauty: 200–204).

    • Example layout:

      • Electronics: 100, 101, 102…

      • Beauty: 200, 201…

      • Trips: 300, 301…

    • This makes it easy to add new items in the future (e.g., “Oh snap! Another Apple Watch? Add it as 106!”).

  5. Save the file as CSV UTF-8 to ensure a successful upload.

Planning your numbering this way prevents overlap and keeps your categories clean in the admin and for bidders.

📊 Method 2: Sort and Display Order Setup

To organize the display of items for bidders:

  1. Go to Items > Categories and Ordering.

  2. Use the Sort Order dropdown to choose how to display items (e.g., by Category or Item Number).

  3. If sorting by Category, make sure each item has one assigned from the Manage Items page.

     

Items without a category will appear before categorized ones on the Landing and Bidding pages.

🛠️ Manual Item Number Changes

Use this if you need to update a single item’s number.

  1. Go to Items > Manage Items.

  2. Click the current Item Number of the item you want to change.

    • You cannot reuse numbers that are already assigned.

  3. Type in the new item number.

  4. Click Update Item to save the change.

You cannot change item numbers for items that already have bids.

📦 Batch Update Item Numbers

You can update item numbers in bulk with a starting number of your choice.

🔁 How to Batch Update

  1. Go to Items > Manage Items.

  2. Use the dropdown at the top to show All Items.

  3. Click the Number column header to sort from lowest to highest.

  4. Use the checkboxes to Select All items you want to update.

  5. Check the box for Item Number in the batch update section.

  6. Enter your starting number in the field (e.g., 100).

    • ClickBid will assign item numbers starting from that number and skip used ones.

  7. Click Update.

  8. Confirm the action in the popup window.

  9. Use the arrow icons next to the number column to verify everything is in numerical order.

ClickBid auto-indexes starting from the lowest number over 100. Items below 100 will not be auto-numbered and must be managed manually.
