📝How to Add Table Numbers to Bidder Records

Need to assign or update table numbers for your event guests? You can easily do this in ClickBid even after bidder records have already been created. Adding table names or numbers helps keep seating organized and lets you include table info in welcome messages and communications.


⚙️ Updating Table Numbers via Upload

The fastest way to update table numbers for multiple bidders is to use the Update Bidders upload tool.

  1. Go to the Bidders tab.

  2. Click Update Bidders.

  3. Click Download to get the update template. 

    You may want to have the Manage Bidders screen open, to type in the bidder numbers that you would like to update, or download the CSV to easily copy and paste.

  4. Fill in the Bidder Number and Table Name/Number column in the spreadsheet.

  5. Upload your file in the same location: Bidders > Update Bidders.

  • This process won’t delete existing info — it only updates the fields you edit.

  • You can include just the Bidder Number and Table Name/Number in the file if that's all you're updating.

The Update Bidders tool lets you make bulk changes to bidder records by uploading a CSV. Only the fields you include in your file will be updated.


âž• Other Ways to Assign Table Numbers

Aside from using the update bidders template, you have a couple more options.

Manually update individual bidders in one of two ways:

  • Individual update method #1 (quickest and easiest):
    • Go to Bidders > Manage Bidders
    • Click into the Table Name field on the line of the bidder you wish to update

    • Enter the table name/number into the field.
    • Click anywhere outside of the field to auto save. 
  • Individual update method #2:

    • Go to Bidders > Manage Bidders
    • Click the green pencil icon next to a bidder’s name, and type in their Table Name/Number.

    • click the Details section to expand
    • Enter Table Name or Number into the Table Name field

    • Click anywhere outside of the field to auto-save.
  • Batch assign from Manage Bidders - use the Batch Update menu to assign a table name or number to all selected.

    • Select multiple bidder checkboxes on the Manage Bidders screen.

    • Scroll down to below the list of bidders to the Batch Update area.
    • Select the check box next to Table Name. Enter the correct table name/number into the field.

    • Click either of the blue Update buttons to save complete the change.

Use batch assigning for quick seating changes — especially helpful for last-minute updates.


📝 Including Table Numbers in Messaging

Once table numbers are assigned, you can display them in event communications.

  • Go to Software Settings > Auction Settings > Custom Content to update the Custom Welcome Text.

  • Use the shortcode [t] to automatically insert the table name or number into the message.

If you have the Enhanced license or higher, which includes access to our Mass Messaging feature, you can also use the short code to include table assignments in these communications under Bidders > Text / Email Bidders using the [t] short code. 

The shortcode [t] pulls the table name or number directly from each bidder’s record. It personalizes your messages without extra work.
