How Do I Set Up My Raffle Item? 3 Ways To Sell Raffle Tickets Do I Need To Show FMV On Raffle Tickets? How to Choose a Winner Viewing Raffle Ticket Sales Reports
**Check on the laws of your state and see what is allowed/required for selling raffles. These laws vary by state.
How do I set up my Raffle item?
These fields are required for setting up a raffle item:
- Item Name
- Item Number
- Item Type: This should be set to quantity for raffle items.
- Status (Active, Closed, or Invisible)
- Purchase Price
- Limited Quantity (Yes or No) Enter Yes if you have a limited Quantity or No if you have an unlimited amount available.
- Quantity (If limited enter the number available)
This Field is Optional for setting up a raffle item:
- Enter in FMV: It's important that the FMV equals the ticket price so the system does not indicate a possible tax-deductible amount for the purchase of a raffle ticket. The purchase of a raffle ticket is not a charitable contribution and is not tax-deductible. The IRS considers a raffle ticket to be a contribution from which you, the nonprofit organization will benefit.
- Quantity for Price:
- Allows you to have different quantities at different price levels.
- If you only have 1 price level, only add 1 quantity with the price.
EX: 1 for 50, 3 for 100, 5 for 150

If you have more than one quantity listed within the item, the FMV will be the price of the first line price. In the example above, the FMV will be $5 when multiple quantities are purchased.
Three Ways to Sell Raffle Tickets at Your Event
Option one: Selling Via the Butler (Recommended)
- Set your item type to "invisible"
- Log in to the Butler. The URL to provide volunteers can be found via Software Settings > Auction Settings > Butler Settings. You can also access the Butler via Event Central > Launch Butler.
- Volunteers can enter raffle ticket purchases via the Add a Bid/Multi-Sale screen (shown below)
- Hand out your raffle tickets at the time of purchase.
Quantity items can be sold via the Butler even after their set closing time. If you'd like to make your raffle unavailable for purchase, navigate to Items > Manage Items > Raffle Item and click the green pencil icon. Set the "limited?" dropdown to quantity, and the "Quantity Remaining" to zero. This will mark your raffle tickets as sold out, and make them unavailable for purchase.
Option two: Selling Tickets Online
This is a great option for online only events, or for events where guests can purchase raffle tickets via their mobile device.
- In Items > Manage Items > Your Raffle Item, Set the item status to " Active".
This will allow guests to view and purchase the raffle ticket via their phone
Option three: Selling Raffle Tickets Via the Ticket Page
If you'd like to sell raffle tickets along with your event tickets, this would be a great option.- Navigate to Event Tickets > Ticket Page > Modify Tickets > Add Underwriting.
- Set the Underwriting name to "raffle ticket"
- Price: Enter the price per purchase
- Fair Market Value: (It's important that the FMV equals the ticket price so the system does not indicate a possible tax-deductible amount for the purchase of a raffle ticket. The purchase of a raffle ticket is not a charitable contribution and is not tax-deductible. The IRS considers a raffle ticket to be a contribution from which you, the nonprofit organization will benefit.)
- Description: Enter a description to appear under the Name of the underwriting
- Availability: Add the number you have available or set it to 0 for unlimited.
- Hide Availability: The amount of each individual underwriting available will appear on the ticket page. Sample: If this is set to no. It will appear like this (5 of 19 Available):
Go to Event Tickets > View Ticket Sales, make sure "Show All" is on the top left corner, click on the arrow next to Underwriting and group your underwriting tickets together. Lastly, click on the CSV button on the top left corner and this will generate a report that shows you all of your Raffle Ticket sales.
Do we need FMV on Raffle Tickets?
It's important that the FMV equals the ticket price so the system does not indicate a possible tax deductible amount for the purchase of a raffle ticket. The purchase of a raffle ticket is not a charitable contribution and is not tax deductible. The IRS considers a raffle ticket to be a contribution from which you, the nonprofit organization will benefit.
Choosing a Winner of Your Raffle
This method is effective for all three methods of selling raffle tickets
- When sales are closed, go to Items > Manage Items > Quantity Item (Raffle Ticket)
- Click on the 'has bids' tag for the item. This will pull up the Item Bid History
- Click on the blue 'Download Qty Purchases'
- Open your spreadsheet.
- Each person who bought a raffle ticket will have a number to the left of their name.
This spreadsheet will have the correct amount of lines for each quantity purchased per person. Meaning if Bidder #100 purchased 3 raffle tickets, their name will be displayed on 3 different lines, generating 3 numbers in the drawing for that bidder.
- Use the google random number generator( linked here) and enter the numbers from the spreadsheet. (this number generator is not operated by ClickBid, but is a tool we have found useful.) If you have multiple raffles, use the number set for each raffle. Then, use the number generator for each raffle to get a winner.
- The number that is generated is your raffle winner!
You can notify the winners via mass messaging, list the winners on your landing page, do live announcements on your landing page, etc.
Having an online-only event? Spice up your raffle announcement with one of these suggestions:
- Seal your winner's name into an envelope and open it during a live broadcast to announce who won.
- Display your winner on your Landing Page.
- Use our Mass Messaging feature to send a message to the winners or to everyone.
- Use 'Wheel of Names': This is a more visually appealing announcement for virtual events.
