🏆 Awarding Multiple Winners for a Silent Auction Item

👥 What Does This Do?

If two bidders agree to split the purchase of a silent auction item (like a group dinner or a multi-person experience), you'll need to manually create duplicate items and assign bids so each can be processed properly in Virtual Venue

ClickBid’s system allows only one winner per item, so to split the win, you’ll create a second item and manually assign a winner to each.


🔁 Step 1: Duplicate the Silent Auction Item

  1. Go to Items > Manage Items

  2. Select the checkbox next to the item you want to award to multiple people

  3. Scroll to the Batch Update section at the bottom

  4. From the dropdown, select Duplicate

  5. Type Duplicate in the confirmation field

  6. Click Update

  7. Click OK on the confirmation popup

  8. A copy of your original item will now appear in the list

Rename your duplicated item (e.g., “Dinner for Two - Copy”) so you can easily distinguish it.



🛠️ Step 2: Change the Item Type (if needed)

  1. Find the duplicated item in your list

  2. Click the green pencil to edit

  3. Change the Item Type to Live

  4. Click Update

 

 Live items allow you to manually assign multiple winners and set custom amounts per bidder.

🧮 Step 3: Split the Bid Between Winners

  1. Go to Event Central > Butler > Add A Bid

  2. Select your Live item (the duplicated version)

  3. Add 50% of the bid amount to Bidder 1

  4. Add the remaining 50% to Bidder 2

 

Adjust percentages or amounts as needed — this method works even if one winner paid more than the other!



🧹 Step 4: Remove Bids From the Original Silent Item

  1. Go back to Items > Manage Items

  2. Click the green “has bids” tag next to the original silent item

  3. Click the X next to each bid until all bidders are removed

Warning: If you only remove the highest bidder, the system will automatically assign the item to the next highest bidder. You must remove all bids to avoid incorrect winners.

Each bidder now has a separate item recorded with their correct contribution — making post-event invoicing and reporting accurate and easy.
