đź”— Bloomerang Integration with ClickBid

Connecting your Bloomerang account to ClickBid allows you to seamlessly sync donor and bidder data, export sales, and map constituent and transaction fields. This guide walks you through setting up the integration and making the most of Bloomerang within your ClickBid admin.


⚙️ How to Connect Your Bloomerang Account

Set up the integration

  1. Go to your Event Admin > Integrations > Dashboard.

  2. Locate the Bloomerang card and click the green Connect button.

  3. In the popup, enter your Bloomerang Username and API Key.

Finding your API Key and Username

  • In Bloomerang, go to Settings > Users > Click your name.

  • Under User Settings, locate your API Key and Username.

  • If you can’t access the Settings tab, you'll need admin permissions.

You must have admin permissions in Bloomerang to view your API Key.

Once connected, the Connect button will turn blue and show “Connected.” A new Bloomerang tab will appear in your dashboard for managing imports, exports, and mappings.

đź§­ Understanding the Dashboard Options

Under the Bloomerang dropdown in your dashboard, you’ll find:

  • Import Bidders

  • Export/Update Bidders

  • Export Sales

  • Custom Mapping

  • Activity Log


🧬 Setting Up Data Mapping

ClickBid supports mapping your event data to specific fields in Bloomerang. It’s best to complete this before exporting any data.

Default Constituent Field Mappings

  • Address Type: Home (can be changed to vacation/work)

  • Email Type: Home (can be changed to work)

  • Phone Type: Home (can be changed to work/mobile/fax)

These mappings control where information appears in Bloomerang’s constituent profiles.

These settings define where ClickBid sends bidder info in Bloomerang profiles.

 

âž• Create Custom Mapping for Constituents

  1. Click the green Create Custom Mapping button.

  2. Choose Bloomerang Field Type: Constituent.

  3. Select a Bloomerang Field (custom fields from Settings > Custom Data > Constituents).

  4. Select a ClickBid Field (e.g., Bidder Number, Bidder Table Number).

  5. Click Create.

  • You can add up to 5 custom mappings for constituents.

  • These will appear in the constituent's profile under custom data fields.


âž• Create Custom Mapping for Transactions

  1. Click the green Create Custom Mapping button.

  2. Choose Bloomerang Field Type: Transaction.

  3. Select a Bloomerang Field (Settings > Custom Data > Transactions).

  4. Select a ClickBid Field (e.g., Item Name, Item Number, Item FMV).

  5. Click Create.

  • You can add up to 4 transaction mappings.

  • These appear in donation details in Bloomerang.

đź§Ť Importing Constituents into ClickBid

  1. Go to Integrations > Bloomerang > Import Bidders tab.

  2. Set Show Entries to your preferred number.

  3. Check the box next to a name, then click Import.

  4. “Imported?” field will show “Not Yet” until completed.

Only import constituents with valid emails or phone numbers so you can contact them via Mass Messaging.

Use the Search bar to find constituents by first or last name.


🔄 Exporting or Updating Bidders in Bloomerang

You can export bidders as new constituents or link them to existing ones.

To link to an existing Bloomerang constituent:

  1. Look up the person in Bloomerang and copy the 6-digit Contact ID from the URL.

  2. Go back to Export/Update Bidders in ClickBid.

  3. Check the bidder’s box, select the correct operation, and click Export/Update.

Use Link to Existing Constituent if the donor already exists in Bloomerang. Otherwise, choose Add New Constituent.


đź’¸ Exporting Sales to Bloomerang

You can export:

  • Paid ticket sales

  • Donations (including Text-to-Give)

  • Paid auction items

To export sales:

  1. Go to Integrations > Bloomerang > Export Sales.

  2. Select up to 900 items using the checkboxes.

  3. Under Bloomerang Match, click the magnifying glass to search or confirm a match.

    • Or click the pencil to manually enter a Contact ID.

  4. Click Export Sales at the bottom.

  5. Choose the Fund (required), and optionally select a Campaign, Appeal, and Receipt Amount option.

  • Exported records appear under Giving Summary and Timeline in Bloomerang.

  • Export may take 5+ minutes depending on queue time.

The Item Name will show in the Donation Note in Bloomerang, along with FMV and order ID if paid by credit card.


❌ Troubleshooting Failed Exports

If a sale fails to export:

  • A red X will appear.

  • Hover over the red X for the error message.

  • Check the Activity Log for more details.

  • You’ll also get an email notification with the reason.

Auction items must be closed (not invisible) to appear in the Export Sales list.
