🧳 HGA Fundraising Auction Items

ClickBid has partnered with HGA Fundraising to help nonprofits offer high-impact travel experiences that increase auction revenue. To make it even easier, ClickBid automatically adds HGA’s most popular items to new events.


✨ What HGA Items Are Included?

These HGA trips are added to every new event and sales demo:

  • 🎟️ Raffle Item – $100 Golden Ticket with Four Trip Options (Cost: $2,495)

  • 🌴 Raffle Item – Jamaica All-Inclusive for 2 (5 Nights – Cost: $2,495)

  • 🥃 Live Item – Kentucky Bourbon Experience for 2 (3 Nights)

  • 🍷 Live Item – Tuscany Corona for 2 (6 Nights – Cost: $1,995)

  • 🏇 Live Item – Kentucky Bourbon Tour for 2 (3 Nights – Cost: $2,495)

These items are optional and can be removed if needed.

These items act like pre-filled templates. You’re welcome to customize or delete them, but they’re designed to save you time and drive engagement.


⚙️ How to Register Your HGA Account

To activate your partnership with HGA and get access to more trips:

  1. Go to HGATrips.com and click View our Trips and Destinations.

  2. Click Create an Account.

  3. Fill in your organization’s details and list ClickBid as your referral partner.

  4. HGA will email you confirmation and additional instructions.

➕ Choosing Additional Trips

Once registered, you’ll also gain access to marketing materials, item templates, and item support directly from HGA.

You can browse and add more experiences to your event directly from the HGA site:

  1. Go to HGATrips.com > Trips and Experiences.

  2. Filter by category:

    • Beach Destinations

    • International

    • Domestic

    • Villas

    • Special Packages

    • Sporting

  3. Download marketing flyers and see full trip details.


✅ Uploading HGA Items into ClickBid

Once you’ve selected your trips, HGA will send you a completed item template. To upload it:

  1. Save the file to your computer.

  2. Go to Items > Manage Items in your ClickBid admin.

  3. Scroll down to Import Items and drag your file into the upload box.

  4. After importing, click into each item to add the provided image under Image Details.


🛎️ Selling HGA Items in Your Auction

To make your HGA items available to bidders:

  1. Go to Items > Manage Items.

  2. Find the HGA items and set them to Active.

  3. Double check your Closing Time settings.

You can use the Quantity item type to create a “Buy Now” option for trips you want to sell multiple times.


📩 Reporting Winning Bidders

After your auction ends, you’ll need to email the winning bidder details to HGA.

Send the following to:

Include:

  • Organization Info: Name, Contact Name, Contact Email, Referred by: ClickBid

  • Event Info: Name, Date, State

  • Destination Info: Trip Name, Auction Price (optional), Winner’s Full Name, Phone, and Email

  • Other: Notes or special instructions (optional)

Once your invoice is paid, there’s no further action needed.


❓ FAQs About HGA Trips

📝 Can I change the item type?
Yes! Trips can be marked as Silent, Live, EventStream, or Quantity. Using Quantity allows multiple people to purchase the same trip.

🎯 Can we sell a trip more than once?
Absolutely! Just inform your auctioneer if you're doing this during a live event.

🌍 What’s the difference between a Passport and Single Trip?

  • Single Trip: The experience is a specific location.

  • Passport Trip: The bidder chooses from multiple destinations within a theme (Vacation, Euro, Golf, etc.)

💰 Can I adjust the starting bid or increment?
Yes. We recommend a starting bid at least 25% above your cost to ensure profitability.

You’re responsible for the full trip cost even if the item sells below that amount.

🛑 What if the trip doesn’t sell?
No problem—there’s no cost if the item goes unsold.

🎟️ What are Golden Ticket Trips?
These are raffle items with destination flexibility.

  • $100 Golden Ticket = Cost $2,495

  • $250 Golden Ticket = Cost $3,995

Your goal is to sell enough tickets to cover the cost. Anything beyond that is profit.

📆 Are there time limits for booking?
Yes. Most trips:

  • Must be booked 60+ days in advance

  • Are valid for 24 months

  • Include blackout dates and booking restrictions noted in the item template
