💳 How to Find and Process Unpaid Checkouts
Need to see who hasn’t completed payment after your event? The Unpaid Checkouts section in ClickBid helps you quickly identify outstanding balances and gives you tools to process them all at once.
⚙️ How to Access Unpaid Checkouts
Follow these steps to view bidders who haven’t completed their checkout:
-
Go to Event Central in your admin menu.
-
Click Event Payments.
-
Select Unpaid Checkouts.
You’ll now see a list of all bidders who still owe payment for their items.
💬 Notifying Unpaid Bidders/Reminding Them to Checkout
If you have access to Mass Messaging (Enhanced or Full Suite licenses), you can send a message to unpaid bidders in your admin encouraging them to log in and pay.
- Go to Bidders > Text or Email Bidders. For this example, we'll use Text Bidders.
- Select Compose a Text
- Select the filter Bidders Not Checked Out
- Compose a text in the Message Body area reminding guests to sign in and pay.
- Click Send Text Now when you are ready to send the message.
Using the [u] short code will populate the link for them to sign in directly in the text message.
✅ How to Batch Process Outstanding Payments
If you want to charge multiple bidders at once, you can use the Batch Process tool:
-
Select the bidders you'd like to charge. You can use the top check box to select all.
- You'll want to make sure that the bidders you are selecting to charge have a card on file. You'll be able to easily see this information under the Payment Type column.
-
Click Batch Process to begin charging all selected accounts.
Batch processing helps you save time by charging all unpaid bidders in one go.
By default, the system will pass credit card processing fees to the bidders during batch processing. If your organization is covering these fees instead, be sure to uncheck the fee checkbox first.
⚠️ How to Cover Processing Fees
If your organization is paying the processing fees, don’t forget this step before batch processing:
-
Deselect the checkbox labeled to pass fees on to bidders.
This ensures the fee is absorbed by your organization.
Double-check this setting before each batch run — it's easy to overlook, especially during busy post-event wrap-up.
