🤝🎥 Hybrid Auction Roles & Responsibilities

Running a hybrid event with in-person guests and remote bidders? This guide outlines the key roles needed to ensure your live auction and fund-a-need go off without a hitch — using ClickBid’s EventStream tools.


🎤 1. Auctioneer

Your auctioneer runs the show — engaging both live and at-home bidders, calling out bids, and maintaining momentum.

🎯 We recommend the auctioneer has access to a Confidence Display so they can easily see:

  • Current item

  • Current winning bidder

  • Current winning amount

  • Next bid amount

🔗 To Share the Confidence Display:

  1. Go to:
    Event Central > Live Broadcast > Launch Butler EventStream

  2. Click: Launch Confidence Display

  3. Send the view-only link via email or text to the auctioneer’s device (laptop/tablet)


🧍‍♂️ 2. Virtual Spotter (Optional but Helpful)

This person helps the auctioneer by watching the Confidence Display and signaling at-home bids.

  • When an online bid comes in, they raise a paddle or hand to alert the auctioneer

  • Must be visible to the auctioneer for quick recognition

💡Tip: If the auctioneer is comfortable reading the Confidence Display solo, a spotter is not required, but still recommended for backup.


🎛️ 3. EventStream Manager (Butler Role)

This person controls live bidding operations via the Manage Butler EventStream page.

Responsibilities:

  • Start and stop live items one at a time

  • Found at:
    Event Central > Live Broadcast > Launch Butler EventStream

  • Click Start on each item from the unsold list to begin bidding

💥 Floor Bid Handling

This person should also:

  • Enter in-person paddle raise bids using the Floor Bid button
    ➤ This keeps remote bidders updated in real time

  • Adjust the next bid amount on the fly
    ➤ Use:

    • Green buttons (+100, +250, +500, +1000) to raise increment

    • 🔵 Blue buttons (−100, −150, −250, −500, −1000) to lower it

  • Submit the current bid using the Floor Bid Submit button

✍️ 4. Fund-a-Need Bidder Number Enterer

This person enters bidder numbers for in-person donations during the Fund-a-Need portion of the event.

🧾 A donation item must be created first.

How to Enter Donations:

  1. Navigate to:
    Butler > Add Donations for Bidders

  2. Type each bidder number and press Enter or Spacebar

  • Entered numbers appear in green under their donation level

📝 5. Fund-a-Need Spotter(s)

These individuals write down bidder numbers as the auctioneer calls them out during Fund-a-Need.

  • Helps ensure no paddle raise is missed

  • We recommend 1–2 spotters for cross-referencing

🧩 Pro Tip: Use a printed sheet with sections by donation level (e.g., $1,000 / $500 / $250) so volunteers can quickly record bidder numbers and stay organized.
