📊 Using ClickBid's Merchant Report for Payouts

The BidKit Merchant Report helps you track payments from your event—whether they’re still processing or have already been deposited. It’s a quick way to keep tabs on your income and reconcile your records.


⚙️ How to Access the Merchant Report

The Merchant Report can be accessed on the event level, or the organization level (for all active events).

The organization level report will show deposits for all active events. This can be found on the left side navigation bar of the event home page.

The event level report will show payouts specific to that event. This can be accessed on the left side navigation bar within your event. 


đź’° Understanding Reconciled vs. Unreconciled Funds

When you land on the Merchant Report page, you’ll see two main sections:

  • Unreconciled: These are funds that have been collected but not yet deposited into your bank account.

  • Reconciled: These are funds that have already been transferred to your account.

Unreconciled funds are typically held for a short time before being deposited, depending on your payout schedule.


đź“… Using the Date Range Tool

  1. Use the Date Range filter to find transactions from a specific timeframe.

  2. The default view shows transactions from the past 60 days.

  3. Adjust the range to match your event date or desired payout window.


📥 Exporting and Forecasting Payouts

While ClickBid doesn’t display a direct total for Unreconciled transactions in the dashboard, you can calculate it:

  1. Click the Download CSV button at the top of the Merchant Report page.

  2. Open the file in Excel or Google Sheets.

  3. Sum the Unreconciled amounts manually.

đź’ˇ Tip: To estimate your actual payout after credit card fees:

  • Make sure you multiply the total by 3.5% US (3.59% CA) to get an accurate forecast of your payout after credit card fees.

If you pass credit card fees to your bidders, this percentage may not apply—check your Auction Settings > Payment for your specific configuration.
