💳 Understanding Credit Card Fees and the Event Sales Report

ClickBid makes it easy to track your event revenue and manage credit card fees. Whether you're running auctions, selling tickets, or collecting donations, the Event Sales Report gives you a complete picture of your earnings—while understanding how credit card fees work ensures you retain as much as possible.


⚙️ How Credit Card Fees Work

ClickBid charges a 3.5% credit card processing fee on all transactions. You can choose whether your organization absorbs this fee or passes it along to bidders.

Here’s how to pass the fee to your bidders:

  1. Go to Software Settings > Auction Settings > Payment.
  2. Find the Capture Admin Fees section.

  3. Set your fee to 3.63% (U.S.) or 3.724% (Canada). The default will be 0.0000.

  4. This rate ensures that after the 3.5% fee is deducted, your organization keeps the full intended donation or purchase amount.

For example:

  • A donor gives $100.

  • With a 3.63% fee added, they pay $103.63.

  • After ClickBid deducts 3.5%, you keep exactly $100.00.

  • If you don’t charge the extra fee, a $100 donation leaves you with $96.50 after processing.

Use the custom fee setting to retain 100% of your donations or purchases.


📊 Using the Event Sales Report

The Event Sales Report is your go-to tool for reviewing sales totals across auctions, ticketing, and donations.

🔁 What’s Included

This report shows:

  • Auction Sales (available after items close and winners are chosen)

  • Online Donations

  • Ticket Sales (grouped by ticket page)

It pulls from your Manage Items screen, Ticket Sales, and Text-to-Give Donations.

📥 How to Download

  1. Go to Reports > Event Sales.

  2. Click the CSV button at the top to export the full report.

You’ll get two report views:

  • Do Not Sort view includes:
    Item #, Item Name, Item Type, Category/Company, Market Value, Bidder Info, Purchase Time, Amount, Tax, Admin Fee, and more.

  • Sorted by Email/Name view includes:
    Name, Email, Winning Bid, Tax, Admin Fee, etc.

Additional columns appear in the downloaded CSV file.


📈 Tracking Total Auction Revenue

To manually total your auction proceeds:

  1. Download the Event Sales Report (CSV).

  2. Add up:

    • Column X (Winning Bid)

    • Column Z (CC Fee)

  3. Example: $11,115.00 + $403.51 = $11,518.51 total proceeds.

Sort by Column Z (CC Fee) to quickly find which bidders opted out of covering the fee (those rows will show $0.00).


🚫 What the Report Does Not Include

  • This report does not account for consignment costs.
    For that, go to Reports > Consignment Detail to track payout obligations and net profit from consigned items.

Use the Consignment Detail Report to separate out items where the organization owes a portion of the sale to a vendor or provider.
