📣 How to Use Mass Messaging in ClickBid

Keep your guests engaged and informed throughout your event with Mass Messaging! This feature allows you to send email and text messages to groups of bidders—whether it’s a warm welcome, a bidding reminder, or a final call.


📍 What is Mass Messaging?

The Mass Messaging feature lives under Bidders > Text/Email Bidders and allows you to communicate with multiple guests at once throughout your event.

ℹ️ Note: Guests cannot reply to mass messages, and responses will not be received.

📤 How Messages Are Delivered:

  • Texts (US & Canada) come from: 855-800-4975

  • Emails are sent from: no_reply@clickbidonline.com
    Display name: Your Organization's Name

🔒 Access & Licensing

Mass Messaging is available to events with the following licenses:

  • Enhanced Suite

  • Full Suite

To confirm your access or purchase the feature:

  1. Go to Dashboard > Organization Page > Account

  2. Review your license details

URL shorteners are not permitted in text messages due to spam filtering risks.

🔑 Step-by-Step: Composing a Message

  1. Go to Bidders > Manage Bidders > Compose a Text/Email

  2. Choose your filter group (who receives the message)

  3. Draft your message:

    • For Emails: Don’t forget to include a Subject Line

    • Use helpful shortcodes like:

      • [u] = Bidding URL

      • [f] = First name

  4. Review and click Send.

Tip: Use Send a Single Text/Email to test your message before sending it to everyone.

📊 Message Status Indicators

  • Blue = Message not yet sent

  • Grey = Message sent

  • Red X = Remove message

  • Send button (greyed-out with a line) = Already sent, but can be re-sent

Best Practices for Mass Messaging

Avoid common pitfalls and ensure smooth communication with these do's and don'ts:

✔️ Do:

  • ✅ Give at least 10 minutes for a message to fully send

  • ✅ Test your message with Send a Single Text/Email

  • ✅ Send important reminders via multiple channels (text + host announcement)

❌ Don’t:

  • ❌ Reference "X minutes left" (use exact closing time instead)

  • ❌ Over-message your guests—they may start ignoring texts

  • ❌ Include mission-critical info only in a mass message

⚠️ Warning Callout:
If a bidder has merged contacts (multiple emails or numbers), all associated contacts will receive the message.
