Can You Sell Raffles Online?

**Check on the laws of your state and see what is allowed/required for selling raffles. These laws vary by state.

How do I set up my Raffle item?

Required:

  • Item Name
  • Item Number
  • Item Type: Quantity
  • Status (Active if you are selling online and Invisible if being sold by a volunteer through the Butler) *** Not available in the template, change the status once you upload the template.
  • Closing Time
  • Quantity for Price (this allows you to set different denominations at a different price. EX: 1 for $10, 3 for $20)
  • Limited?
    • Quantity: Enter the limited quantity in Quantity Remaining (if limited).
      • This will set a limited quantity for your item.
    • Dollar Amount: Enter the limited dollar amount in Dollar Amount Remaining (if limited).
      • This will set a limited dollar amount for your item.

Optional:

  • Enter in FMV (It's important that the FMV equals the ticket price so the system does not indicate a possible tax-deductible amount for the purchase of a raffle ticket. The purchase of a raffle ticket is not a charitable contribution and is not tax-deductible. The IRS considers a raffle ticket to be a contribution from which you, the nonprofit organization will benefit.)
    • If you have multiple quantities, the FMV displayed will be for the smallest quantity available.

If you have more than one quantity listed within the item, the FMV will be the price of the first line price. In the example above, the FMV will be $5 when multiple quantities are purchased.

  • Toggle on “Show Names in History Tab?” and then bidders can see who else has bought tickets.

How do I sell my Raffle Tickets?

You can do it in a couple of different ways.

Best Practice: Volunteers can sell the Raffle tickets through the Butler under the Add a Bid/ Multi/ Sale section. Set your Raffle item to invisible and sell them through the butler. You can hand tickets out at this time. Go to cbo.io/butler and enter your event id and the password you use to get into your admin account.

  • See screenshot of the butler Add a Bid / Multi Sale Section below

Selling Raffle Tickets online or on mobile devices without tickets being handed to guests? Set up your raffle item and set it to a status of “active” for purchase online or via cell phone.

How do we choose an online only raffle winner?

  • When sales are closed go to Items > Manage Items > Quantity Item (Raffle Ticket)
  • Click on the 'has bids' tag for the item. This will pull up the Item Bid History
  • Click on the blue 'Download Qty Purchases'
  • Open your spreadsheet.
  • Each person who bought a raffle ticket will have a number to the left of their name.
  • NOTE: This spreadsheet will have the correct amount of lines for each quantity purchased per person. Meaning if Bidder #100 purchased 3 raffle tickets, their name will be displayed on 3 different lines, generating 3 numbers in the drawing for that bidder.
  • Use the google random number generator and enter the numbers from the spreadsheet (this option is a suggestion and found outside of ClickBid - See hyperlink below) If you have multiple raffles, use the number set for each raffle, then use the number generator for each raffle to get a winner.  For example, the picture below shows Item number 50 uses rows 2-7, use these numbers for your first raffle drawing and item 51 uses 9-17 for the second raffle drawing, etc.

Having an online-only event? Spice up your raffle announcement with one of these suggestions:

  • Seal your winner's name into an envelope and open it during a live broadcast to announce who won.
  • Display your winner's on your Landing Page.
  • Use our Mass Messaging feature to send a message to the winners or to everyone.
  • Use 'Wheel of Names' which is a more visually appealing announcement for virtual events. Check out our best practice here, https://clickbid.freshdesk.com/a/solutions/articles/28000022577.

You can notify the winners via mass messaging, list the winners on your landing page, do live announcements on your landing page, etc.
