Item Types and Descriptions


To add Items to your auction, you can either select 'add item' at the top of your manage items page, Or you can utilize the mass upload option. To view our Item Template / Mass Uploading Items Best Practice, CLICK THIS LINK.


  • When adding an item by clicking ADD ITEM, the "Show FMV as Priceless" option will be selected. Deselect this if you want your FMV to show on the Landing page, bidding site, and share links.

  •  When adding an item by ITEM TEMPLATE, this feature will not be selected automatically

  • $0 FMV (Besides Donation Items) will display on receipts as PRICELESS.

  • Unless your FMV field is Blank or 0 is entered then it defaults to display as priceless.

1. Silent Items (a competitive item)

This type is used for competitive mobile bidding. The last bid (also the highest bid) placed on this item will be the winning bid, and only that bidder will be charged for the item. A buy now price is available for use with this item type.


Required:

  •  Item name      
  •  Item Number

  •  Item Type: Silent

  •  Starting Bid (defaults to $1)

  •  Bid Increment (defaults to $1)

  •  Closing Time


Optional: 

  • # of bids to show (defaults to 20)

  • Buy now price and FMV (if nothing entered for FMV it defaults to show as priceless)

  • Show names in history (if this is not set to yes, the history will show an obfuscated identifier so nobody will know who is bidding on the item)

  • Is this item taxable? If yes, you will have to add the taxable amount under Software Settings > Auction Settings > Payments and goals. 


* * If you have a reserve that needs to be met for an item we suggest making the starting price of this item the reserve or consignment price.

2. Live Items (Items are viewable on the landing page, but not biddable online)

This item type is intended for a live auction. Items are sold by an auctioneer or emcee. Only positive bids are allowed (negative were allowed in the past). Any number of bids in any amount can be added for a live item.  ClickBid also recommends using the live item type for silent items in a paper-based auction where no mobile bidding takes place.


Required:

  • Item Name
  •  Item Number

  • Item Type: Live/Preview Closing Time: This is typically set equal to silent auction closing time

Optional: 

  • Enter in FMV (if nothing is entered for FMV, it defaults to show as priceless)


EventStream Live Item

This item is intended for a virtual Live auction. Items are sold on the EventStream feature and cannot be bid on until you start the bidding through the Butler tool. 


Required:

  • Item Name
  • Item Number
  • Item Type (Live)
  • Allow Live Bidding - Yes
  • Set the Starting bid and Bid Increment

Optional: 

  • Enter in FMV (if nothing entered for FMV it defaults to show as priceless)

3. Donation/Fund-A-Need

This item type will allow an organization to set up multiple donation items if they choose to. This item type is for monetary donations only. All bidders who have a bid placed on this item will be charged.  Closing time is also now observed for these items on the bidding site. Bids can be added after closing via Butler.


Required: 

  • Item Name
  • Item Number

  • Item Type: Donation

  • Status - Active: if you want a BLUE donate button to show on the bidding site. 

  • Pre-Set denominations - only set denominations if you want them to show on the Bid site. You can put them in a sort order 1, 2, 3, ... If you want to allow them to enter their own amount, leave this section blank. Will have default amounts in the Butler. 

  • Animation Theme (if using the display)

  • Show your donation goal (Yes or No)

  • Show Sponsors (Yes or No)

  • Include text to give donations (Yes or No) Add the beginning date for a text to give only. You can use text to give but keep in mind if you are using multiple appeal displays for donation items using text to give will cause all appeal screens to rise as the text to give is all coming into the same number through the same keyword. 

  • Background Element (For Display) Drop a full-screen image (1920x1280) in the dropzone to the left. This will be used as a background for the projected display.


*NOTES: 

  • To launch your appeal display, go to Items > Manage Items > Donation Item > Projected Display Settings > Link
  • If you want to use text to give and are using more than one appeal screen, it will show up on all appeal screens. Our recommendation is to avoid using text to give when you are displaying multiple appeal screens. 
  • Example: If you have multiple teams and you have donations coming in for each team and have an Appeal screen launched for each team if you use the text to give, the donor will not be able to select a team to give to specifically and the text to give will be counted on all Appeal Displays.

4. Quantity Item (Raffle/Wine Pull/Game Items/Sign-Up Parties/ Multi Sales)


Required:

  • Item Name
  • Item Number

  • Item Type: Quantity 

  • Status Set to Active if you are selling online and Invisible if being sold by a volunteer through the Butler

  • Closing Time

  • Purchase Price

  • Quantity For Price 

    • This allows you to set different quantities for a price. EX: 1 for 50, 3 for 100, 5 for 150

  • Limited Quantity (Yes or No) Enter 'Yes' if you have a limited Quantity or 'No' if you have an unlimited amount available.  

  • Quantity (If limited enter the number available)

Optional: 

  • Enter in FMV (It's important that the FMV equals the raffle ticket price so the system does not indicate a possible tax-deductible amount for the purchase of a raffle ticket. The purchase of a raffle ticket is not a charitable contribution and is not tax-deductible. The IRS considers a raffle ticket to be a contribution from which you, the nonprofit organization will benefit.)

  • Toggle on “Show Names in History”. This allows bidders to see who else has bought tickets to the event.

5. Blind Item

This item type will have an amount field where the bidder enters their bid.  Bidders cannot see how much other bidders have bid and no outbid notices are sent. The bidder with the highest bid at closing wins, no matter when the bid was placed. If there is a tie for the highest bid, the bid that was placed first wins.


Required:

  • Item Name
  • Item Number

  • Status 

  • Closing Time

Optional:

  •  Enter in FMV (if nothing entered for FMV it defaults to show as priceless) 

*Notes: 

  • The highest bidder is the winner. If there is a tie, whoever placed the bid first is the winner. 

  • If a bidder places a bid of 5,000 and then goes back in and places a lower bid it will not be accepted. If a different bidder places a bid lower than the highest bidder it will be accepted.

6. Credit Item (if you want to credit a Bidders account)

This item type is used to apply negative amounts to checkout for any reason (raffle winner, courtesy discount, etc.). Amount over FMV = the negative credit amount.  This item type is only allowed to be invisible and will bring a total down to zero but not negative, regardless of how large the credit is.  Note that this is different than a refund on a purchase.


Required:

  • Item Name
  • Item Number

  • Item Type: Credit 


*Notes: Status will always be invisible (can be set in the admin) and will be added to a bidders account. Event > Launch Butler > Add a Bid/Multi Sale.

Sample: Raffle winner or Gamble winner or anything you want to credit a bidder for.

7. Info Item (If you want to put information on a bidder’s receipt with no dollar amount)

This item type allows for a bid to be added for a bidder so the item/info shows up on a receipt but has no effect on the total. The intent is for this type to be used mainly for raffle winners, but could be anything that an organization wants to call attention to for a bidder.  FMV = Price = $0, only allowed to be invisible.


Required:

  • Item Name
  • Item Number

  • Item Type: Info

*Notes:

  • This item is used for informational purposes only. It will show up on the receipt but has no effect on the total. Would be used mainly for raffle winners but could be anything that an org wants to call attention to for a bidder. 

  • The status will always be invisible (can be added in the admin) and will be added to a bidders account through Event Central > Launch Butler > Add a Bid/Multi Sale.

Category Suggestions

Item number/categories - We recommend working the item number and the categories together. In the admin, you can do a sort order of how you would like them to appear on the bidding interface. To put them in a sort order go to Items> Categories & Ordering.

(First) Sports 100's

(Second) Travel 200's

(Third) Entertainment 300's

(Fourth) Beauty 400's 

(Fifth) Packages 500's
