Selling Tickets and Allowing Bidders to Register

What happens when you turn your Ticket Purchasers into bidders after you’ve allowed them to Register on their own?

They become a bidder twice; now you have two bidders with the same name. 

 

What's The Best Way to Keep This From Happening?

Our Best Practice is to turn off your Register Now button by going to Software Settings > Landing Page Content > Login/Register Area. If you have people that are not attending the event but still want to bid you can do a couple of different things.

  1. Make a Ticket that is only for those who will not attend the event. If you do not want to charge anything for this ticket, you will need to create a discount code to make the cost $0.
  2. Keep your Register Now button on while adding language below it saying "There is no need to register if you purchased a ticket to the event. If you do not plan to attend the auction you may register now."
  3. If you have mass messaging, you can send a text or email once you have changed your guests into bidders letting them know what their bidder number is and that they can log in and start bidding. (This is recommended for any scenario)

If duplicated records have already been created, you can take these steps to fix it:

Let's say a guest registered for their bidder number, not realizing they needed to purchase a ticket. Here's what this process will look like from start to finish: 

  • First, you will find your registered guest under Bidders > Manage Bidders with the information they entered during registering.
    • Next, head to Event Tickets > Manage Guests and turn this guest into a bidder by selecting "Show 100" at the top of the page. On the top toggle button, select all of your bidders on this page. Filter bid number assigned by no. Scroll down to batch update, click "Make Bidder, type "Make Bidder" and hit complete to save your changes. If you have more than 100 guests, you will have to repeat this process on the next page.

     

    If you have guests that are already assigned a bidder number, you will get a notice that there is information already being used for this bidder



    • Go back to Bidders > Manage Bidders; you could have two bidders with the same name. The system deleted the email and phone for the second bidder. If this happened you can go in and delete the bidder with missing information. If you are both converting ticket purchasers to bidders on the manage guests page and allowing guests to bid, you may need to repeat this process multiple times.

     

    If you have separate information on both of the profiles that is applicable to the bidder, such as credit card, table number, meal choice, ect, you will want to merge the bidder profiles instead of deleting them. To merge a profile, you will check the box next to both profiles. A merge button will appear and a popup will ask you to confirm the information.

    **Once a merge has been completed, it can not be undone.
